How setup works, what we need, how changes and comments are handled, and how your information is kept confidential.

Getting started

Is this software we have to install?

No. It's a service. You send files and get accounts back by email. There's nothing to install, no templates to maintain and no new system for your team to learn.

Who is AI Fund Accounts best suited to?

Jersey and Guernsey limited partnerships and their general partners are our core expertise; we also cover English and Scottish limited partnerships. It suits LP accounts of about 30 pages or fewer, not counting the audit report and the investment manager's report, and GP accounts of under 20 pages. Accounts whose disclosures change substantially every year are less suited.

How do you take on a new entity?

We first review last year's signed accounts to confirm we can draft the entity efficiently. We aim to help as many administrators as we can, but we'll tell you if an entity isn't a good fit. That's usually when the disclosures need much more than your ledger and one round of comments can provide.

What do you need from us?

Last year's signed accounts as a PDF, and this year's trial balance or general ledger as CSV or Excel. Any accounting system is fine, and we map the accounts ourselves. Scanned accounts are accepted, with a higher setup fee.

Which frameworks and structures do you cover?

IFRS, FRS 102 and US GAAP. We specialise in Jersey and Guernsey limited partnerships and their general partners, and also cover English and Scottish limited partnerships, in any reporting currency.

How long does setup take?

A few working days per entity, including your first draft. After that, every update comes back within the hour.

Drafting

How is the drafting done?

Drafting and checking are automated using the latest AI technology. Figures come only from your ledger and last year's signed accounts. Every set must pass all our internal checks before it's sent, and the output is professionally typeset as standard.

Who keeps the master copy?

We do. Each entity has one master that every draft is built from, so figures, wording and formatting stay consistent from draft to draft and year to year. Please don't carry on working in a copy. Send every change to us, whether it's comments, an edited Word file or a new trial balance, and it goes into the master. Changes made only on your side won't carry into the next draft or next year's accounts.

Do you prepare consolidated accounts?

Yes, from a final consolidated trial balance.

Do you do quarterly reports?

Yes, where they follow the same or a similar format to the annual accounts.

How do you handle rounding?

Rounding differences of less than 5 in the reporting currency go to bank charges and are listed in the checklist. Nothing else is adjusted outside the ledger.

Can you include adjustments that aren't on the ledger?

We draft from the ledger only. If an adjustment is needed, post the journal and send the updated trial balance. The revised set comes back within the hour.

What about information that isn't on the ledger, such as loan terms?

We mark it clearly in red in the first draft and list it in the handover checklist, so you know what to obtain and send us. It's the same as you'd do preparing the accounts in Word or Excel. If you send it upfront, it will be in the first draft. Facts we can obtain with reasonable certainty, such as year-end exchange rates, are looked up, included and shown with their source.

Can you just review statements we have already prepared?

Yes. Send the draft, the trial balance and last year's signed accounts. You get the same checklist back, with every difference from the ledger and the comparatives listed for your team to clear.

Changes and comments

How do figure changes work?

Send the new trial balance. We update the set, run the full internal checks again and aim to return it within the hour. Every figure and sentence that moved is listed.

What about audit or client comments?

Upload the agreed comments, either as call-outs on the PDF or as an edited Word document. They're reflected in the next draft, and anything needing your confirmation is shown in the red-line version. Please make comments as clear as you would for a back office or a colleague.

How many drafts are included?

Most sets are finished within 3 drafts, and our standard offering includes 5. Further drafts are charged at a fixed fee per draft.

Can you help us through peak season?

Yes, that's what we're here for. Drafting and checking are automated, so our capacity grows with your year-end workload and our turnaround targets hold through the busiest months.

Confidentiality and pricing

How do you keep our information confidential?

Our AI runs on infrastructure independently audited to SOC 2 Type II, and your files are never used to train AI models. Every engagement is overseen by a Chartered Accountant, bound by a professional code of ethics on client confidentiality. Registering interest doesn't involve sending any files.

How much does it cost?

A one-off setup fee per entity, then a fee per set; see our guide prices. Scanned prior-year accounts cost more to set up. Founding firms get setup and their first annual set free.
